Deposit Homepage
This is the main starting point for any deposits. The page has three main parts. The top is where you get to start a new deposit. The middle (hidden form) is where you can search existing deposits, and the bottom part is the results from the search form.

There are sub navigation links to check out the expenses/receipts and to do an advanced deposit search. There are also links for other special reports that are relative to the deposits. To start a new deposit, click on the button at the top of the page that says, "create new deposit". This will take you to the add/edit form for creating a new deposit.

The main deposit search form is a way to search for specific deposits. The only required fields are the to and from dates. If the deposit search criteria is hidden, click on the button to show the search form.

1. Deposit Number - Use this field only if you want to get a single deposit and you know the id number. Enter the number and then click the button that says, "get it". This action will take you to the printer friendly deposit page if available. You may also use the key words "new", "all", and "last" (w/o the quotes) to help with navigation.

2. Bank - Choose a bank from the list provided. Default of All.

3. Person Who Made The Deposit - Choose a user from the list provided. Default of All.

4. Deposit Amount - Enter a specific amount to narrow the search. Default of All.

5. Verified - Choose from the list to help limit the results. Default is All.

6. From Deposit Date - By default, this date will do a 31 day roll-back. It can be changed to whatever date is needed. If your report doesn't pull up the results you are looking for, check the dates.

7. To Deposit Date - By default, this will be today's date. It can be changed to any date to help with the report. Once again, if the results are not what you wanted, check the to and from dates.

8. Date Type - This is a switch to allow you to sort on the deposit date or the verified date. The to and from dates above will hold the dates and the date switch will help the application search the correct fields.

9. Keep Criteria Open - This checkbox helps you either keep the search criteria form open (showing) or allows it to be collapsed (closed) after the search is submitted. The default is unchecked which means that the form will be hidden or collapsed. If checked, the search form will remain open.

The bottom part of the page deals with results. There are three basic totals for the page. This helps to get an idea of what is pending, verified, and the grand total. The totals only reflect the records that were returned to the search. Once a deposit shows up in the list, there are three options for dealing with the deposit. They are edit, printable, and history. The edit link is what you click to edit either the main deposit info, the line items, or to verify the deposit. The printable link will take you to the printer friendly deposit page. The history will show the actions taken on a specific deposit and who, what, and when the action was completed.

Deposits that do not match the deposit amount and the sum of the line items will be flagged with a special flag. This helps you to know where to focus and which deposit might still need some help.

If you have more than 50 records returned by a search, you will get a small next page form that will allow you to switch between pages of the report. As you switch pages, the application will remember the criteria of your last submitted search. The totals deal with all of the records as a whole and not just the records that are shown per page. This is only true when you have more than one page of results.

If you have a ton of outstanding invoice payments that need to be deposited. There is an admin tool (link at the top of the page) to do a clean-up on the outstanding payments. If used, the clean-up tool will force each payment to a "deposited" status and will set the deposit number to 0 (unassigned). You must have the admin permission to see this clean-up tool.

On the far left of each deposit will be a small thumbnail image. If it is different than the default thumbnail, the deposit has an image gallery, and you may click on the image to go the gallery page. This feature, and the ability to upload photos of the deposit, are tied to the photo management permission.
