Duplicate PO
This is the duplicate PO page. This page exists as a handy inventory management tool. It is not required for the application to work but allows you, as a user, to copy or duplicate work that has already been done and speed up processes dealing with PO's and inventory items.

The duplicate PO tool will look-up an existing PO, show all of the relative fields, allow for an optional multiplier, and will allow you as the user to interact with the fields and settings. Once you click the "duplicate po" button, the values and settings will be used to create a brand new PO from the data provided. The original PO will not be harmed or altered by the duplication process.

Duplicating a PO has a number of uses and functions. This is not an exhaustive list, but may give you some ideas. You may... set up inventory levels for a new location, repeat an internal build process, split a PO and keep some on back order and push others forward into live inventories, save time by duplicating a PO that is similar to what you need for a current order, copy a PO that is reoccurring or a repeat order, etc.

It is important to note that a "PO" or "purchase order" or "production order" is a type of inventory tool and thus has a cause and effect relationship with inventory levels and accounts payable (who do we owe monies to). PO's can also affect part number costs and values. This is not meant to scare you, just a friendly reminder that this tool does the same thing as the normal PO processes but it can do it much quicker and has a wider stroke... :) With power comes responsibility... :)

Here are a couple of tips for using this page:

1. The multiplier field at the top is a standalone function of the page. It may be submitted as many times as needed and will not affect anything (other than changing local math calcs) until the bottom button that says "duplicate po" is clicked. The multiplier field is there as an optional field. The default is 1 or leave the new PO values the same as the original. If needed, the multiplier will cascade its value to all line items on the PO (original quantity times the multiplier). This is handy if you have multiple line items on a PO and don't want to update each individual line item by a set value. See the bottom of the help file for some examples.

2. The "Use Location" setting at the top of the page will be cascaded down to the individual line items.

3. The "Use PO Amount" field may be left blank, the string "auto", or a specific value. The default is "auto" which will add up all of the line items and record the correct value for you.

4. There is a checkbox to select/deselect all of the line items. Only selected line items will be added to the new PO.

5. Each line item has an extended cost field. The default, is the string "auto". If passed to the duplicate action page, this setting will take the current part number cost and multiply it by the live quantity or request quantity to get a total per line item. If a change in the current cost is needed, you need to do your own multiplication and enter the final extended value. The system will then back into the extended cost and will alter the actual part number cost accordingly. As a note, any cost changes will be recorded in the database and will reflect on the current part number.

Some examples using the optional line item quantity multiplier:

Example 1: Say the original PO was for a quantity of 1 for 10 new items (you just wanted to try the new product out). Let's say that you really liked all of the items except for two of them. The new order will be for a quantity of 200 of each item. You could set the multiplier to 200 (or whatever value is needed), click the submit button and then only have to change the two items that you didn't want. All other quantity fields would be set to 200.

Example 2: Say you had a single PO that makes or creates something (an internal build po). The quantity multiplier would be handy to help you add or subtract things in bulk. Let's pretend that the original PO had some raw inventory items and then created a new product or output. If the multiplier is used, it would take itself times each quantity (positive or negative) and would expand the math calcs to all PO line item and their quantities. Here is an sample usage: I like to eat apple pie and that's what I do for my company. Let's pretend that the original PO had negative quantities for the ingredients to make the pie. The final output or what was created was slices of pie (shown as a positive). Let's say that each pie creates six pieces of pie. The original PO created one full pie or six pieces. If the multiplier was used on the original PO, we could create 4 pies or 24 pieces using a single multiplier value. All of the raw goods (negative quantities) would be multiplied and all of the outputs (positive quantities) would be multiplied.

If you have a need for building and tracking things, we highly recommend that you check out a section called the Adilas recipe/build section. A recipe is a pre-set group of parts, line items, quantities, ingredients, and outputs. The recipes may then be applied as many times as needed (actually doing the builds) to virtually effect inventory counts.
